    Sands Capital is seeking a motivated and highly professional Executive Assistant to support members of the Investment Team and to serve as primary backup for the Receptionist.  The ideal candidate will be experienced in handling a wide range of administrative, project management, and executive support-related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well-organized, have strong attention to detail, maintain a high level of confidentiality, and take a proactive approach to work.  This person must possess the ability to support a highly educated, successful, and active team, while also communicating effectively and interfacing regularly with a high performing team of Executive Assistants.

     

    This is a full-time position that must work from Sands Capital’s headquarters in Arlington, Virginia Monday – Friday.

    Responsibilities

    Responsibilities for the Executive Assistant include:

    • Primary backup support for Receptionist for lunch daily and as needed
    • Making complex travel arrangements, both domestic and international
    • Actively managing calendars for multiple investment team members
    • Meeting scheduling, planning, and general coordination
    • Acting as project manager on various monthly and quarter-end client relations deliverables
    • Organizing and maintaining file systems, files correspondence, and other records
    • Performing data entry
    • Completing expense reports using Concur
    • Photocopying, printing, collating, researching, and compiling “prep packets”
    • Other administrative and clerical duties, as needed
    • Personal Assistant responsibilities include: handling mail and packages, running errands occasionally, and scheduling non-work appointments

    Qualifications

    • B.A. or B.S. degree required
    • 5-8 years of experience working as an administrative professional and supporting multiple senior-level staff members
    • Skilled in MS Office Suite (Outlook, Word, Excel, and PowerPoint)
    • Excellent calendar management skills
    • Experience preparing domestic and international travel arrangements, including passport and visa processing
    • Superior customer service skills and demonstrated ability to interact with all levels of staff
    • Strong detail orientation skills
    • Ability to perform position responsibilities independently with a high degree of efficiency and accuracy
    • Solid organizational skills with the ability to both prioritize and also handle multiple priorities at once
    • Ability to effectively prioritize and coordinate work across multiple team members
    • High degree of initiative, self-discipline, and motivation
    • Operates with a positive ‘can do’ attitude
    • Ability to work collaboratively and effectively as part of a team
    • Exceptional communication skills (both verbal and written)
    • Ability to handle confidential and sensitive information with discretion
    • Strong time management skills
